Terms of Service

Last updated November 5, 2026

These terms are an agreement between SiteTools, Inc., which runs LeadVault.com ("we", "us"), and the company that uses LeadVault ("you", our customer). The person who signs up, or who accepts these terms for a company, confirms they're allowed to do so for that company. Our Data Processing Addendum is part of these terms, and our privacy policy explains how we handle personal information.

The service

LeadVault is software for collecting and working leads: quote forms, a lead list and pipeline, calling, an API and the other features in your account. We may improve and change it over time. If we remove something important that you pay for, we'll tell your account admins first.

Your account admins decide who uses LeadVault for you, and what each person can see and do. You're responsible for what happens under your account: keep sign-ins to the people they belong to, keep two-step sign-in on, and turn off people who leave. Tell us right away if you think someone got in who shouldn't have.

Free trial

A new account starts with a free trial; the sign-up page says how long. To keep using LeadVault after the trial, choose a paid plan. If you don't, the account stops working at the end of the trial, and we keep its data for 90 days in case you come back, then delete it, as "Your data" below says. Trials are offered as they are, without the commitments in the Fees section, and we may end free trials for an account that misuses them.

Fees and payment

Paid plans are billed in advance, monthly or yearly, at the price shown when you choose the plan, plus any taxes. Add-ons charged by use, such as the web phone's minutes and texts, are billed after each period for the use in it, and one-time fees, such as registering your company for texting, on the next bill, at the prices shown in your account's settings. The bulk email fee in "Calls, texts and email" below is charged the same way. You authorize us, through our payment processor, to charge your payment method each period until you cancel. Fees aren't refunded for part of a period, except where the law requires it. We'll tell your account admins at least 30 days before a price change, which applies from your next period.

If a payment fails, we'll tell you and try again. If it's still unpaid 14 days later, we may pause the account until it's paid; your data stays safe while it's paused, for 90 days, as "Your data" below says.

Your data

Your data is yours: the leads, notes, recordings, forms and everything else you or your forms, lead providers and integrations put into LeadVault. You give us permission to host, copy, process and show it only to provide LeadVault to you, keep it secure, and support you, as the Data Processing Addendum describes. We don't sell it, and we don't use your leads for anyone else.

We may use information about how LeadVault is used, with anything that identifies a person or your company taken out (for example, how far visitors get on forms), to run, secure and improve LeadVault.

You can export your leads at any time. When your account ends, at the end of a free trial without a paid plan or when your billing stops, we keep your data for 90 days, and your account admins can export your leads; we email them 30 days, 7 days and 1 day before it's deleted. Then we delete your data, except copies in backups, which are deleted as the backups roll over, and what we keep for five years for legal and compliance purposes: a record of each consent your leads gave (its wording, when and where it was given, and the phone number and email it covers), records of what we charged you, and the log of important actions in your account, with the names and emails of the people who took them. Those are deleted after the five years, and anything else the law requires us to keep, when it no longer does. Phone numbers we got for your account go back to the phone company 30 days after your billing ends, unless you set up billing again before then; after that, they can't be recovered.

Your responsibilities

You're responsible for the data you collect and how you use it. In particular, you agree to:

And you agree not to:

Calls, texts and email

When you call, text or email people from LeadVault, you're the sender, and you're responsible for following the laws on it. That includes the Telephone Consumer Protection Act and do-not-call rules (calling and texting only with the consent the law requires, at allowed hours, and honoring opt-outs), state laws that require everyone's consent before a call is recorded (California among them; tell people when calls are recorded), CAN-SPAM for email, and the registration phone carriers require for business texting.

Bulk email goes out through sending services that all our customers share, so it has rules of its own. Keep the share of your bulk email that people mark as spam under 0.1% (1 in 1,000), and bounces under 2%; your Email page shows both for the last 30 days. LeadVault stops an email by itself when more than 0.1% of it is marked as spam or more than 5% of it bounces, sets how many bulk emails a company may send a day, and may slow or pause a company's bulk email to keep delivery working for everyone. If more than 0.3% of the bulk email your company sent in the last 30 days was marked as spam (once it has sent at least 1,000 in that time), we may charge a fee of $250 for each month in which that happens, and pause your bulk email until the cause is fixed.

AI features

LeadVault's AI features (Vaulty, smart search, AI on forms, and turning speech into text) can get things wrong. Check what they say or do before relying on it, especially before something goes to a lead. We don't let our AI providers train their models on your data.

Other companies' services

Some features use other companies' services, such as Google for addresses and sign-in, Twilio for calls, and RentCast for home value estimates. Their information may be incomplete or wrong; a home value estimate is not an appraisal. Vaulty, LeadVault's AI assistant, can mishear or misunderstand callers and visitors: check what it takes down before relying on it. When you connect LeadVault to your own tools through the API, webhooks or a connector, what those tools do with your data is between you and them.

Our rights

LeadVault, its software, design and the LeadVault™ name belong to SiteTools, Inc. These terms give you the right to use LeadVault for your business while your account is active, and no other rights in it. If you send us ideas or feedback, we may use them without owing you anything.

Each of us keeps the other's non-public business information confidential, uses it only for this agreement, and protects it at least as carefully as our own.

Ending or pausing an account

You can cancel at any time; your plan runs to the end of the period you paid for. We may end these terms with 30 days' notice to your account admins. We may pause or end an account right away if it seriously breaks these terms, puts people's data or the service at risk, or if the law requires it; where we reasonably can, we'll tell you first and give you a chance to fix it. Sections that by their nature should last, such as fees owed, liability and the ones about data, continue after an account ends.

Warranties and liability

We'll provide LeadVault with reasonable skill and care. Apart from that, it's provided "as is": to the extent the law allows, we don't promise it will be uninterrupted or error-free, or fit for a particular purpose.

To the extent the law allows, neither of us is liable to the other for lost profits, revenue or business, or for indirect, special or consequential damages, and each side's total liability under these terms is limited to the fees you paid us in the 12 months before the claim. These limits don't apply to your fees owed, to either side's obligations under "Defending each other" below, or to harm caused on purpose or by gross negligence.

Defending each other

We'll defend you against a claim that LeadVault, as we provide it, infringes someone's intellectual property rights in the United States, and pay what a court finally awards or we agree to settle for. You'll defend us against a claim that comes from your data, your calls, texts or emails, or your breaking these terms or the law, and pay what a court finally awards or you agree to settle for. The side being defended must tell the other promptly, let it control the defense, and help reasonably.
